Stream can tell you when something needs your attention, such as a failed order or a paused store. You choose which of these alerts each person on your team receives. This article explains each alert and helps you pick the right ones.
How alerts work
Each alert arrives as a notification in the Stream dashboard and as an email.
You choose alerts for each person, for your whole organization. You do not choose them for each location.
Alerts about a specific store go only to people who have access to that store.
Change your alerts
Go to Settings > Members
Choose the person, click on "Edit Member"
3. Open the Alerts list and choose the alerts this person should receive.
4. Save your changes.
The list has two special choices:
All Alerts sends every alert in the table below.
No Alerts sends nothing.
The alerts
Alert | What triggers it | What you receive | Who should turn it on |
Failed Orders | An order reaches Stream and then fails. | Email "Order Failure: [delivery app] - [order ID]". It shows the store address, the delivery app's order number, the reason in plain language, the placed time and estimated time, and the fulfillment type. It links to Understanding Order Errors. | Store managers and anyone who fixes order problems. Works for all delivery apps. |
Locations paused | A delivery-app store is paused. The pause can come from the delivery app, your POS, a person in Stream, Stream, or store setup. | Email "Your [delivery app] Store Has Been Paused". It names the store and the delivery app. It shows who paused it, for how long, and the reason when known. It explains how to resume: Pause Menu > Unpause. | Store managers and anyone who opens and closes stores. |
Orders Received While Unsubscribed | An order arrives, but your Stream subscription is not valid. Stream does not process the order. | Email "Order Not Processed due to Invalid Stream Subscription". It asks you to resubscribe. You get one email for each order that Stream could not process. | Owners and whoever manages billing. |
Token Refresh Failures | The login Stream uses for a POS or delivery app (for example Clover) has expired and the connection needs to be reconnected. | Email "WARNING: [provider] integration experiencing issues". It includes a reconnection guide and the error from the provider. It lists the affected locations. Stream sends at most one per connection every 24 hours. | Owners and whoever sets up integrations. |
Catalog Availability Updates | Runs daily for organizations that have it set up. | Email "Item Availability Summary, [date]". It summarizes items marked unavailable or available in the last 24 hours. It shows totals for each location and the share of items made available again within a day. A CSV file is attached. | Menu managers. |
More about "Orders Received While Unsubscribed"
This alert usually means your subscription lapsed or a payment failed. It can also happen when all of your locations use Clover and you add your first location on another POS, such as Toast. That location needs a Stream subscription.
If a payment fails, Stream also emails the owner with the subject "Urgent: Your Stream Account Needs Attention to Avoid Cancellation". This email comes with the same alert.
More about "Token Refresh Failures"
Short, temporary connection errors do not trigger this alert. Stream retries them automatically. You receive the alert only when the connection needs you to log in again. To reconnect, see How to Reconnect your Clover Account or How to Reconnect a 3rd Party Integration.
Options you can ignore
The Alerts list also shows a few options for Stream's own use, such as requests to remove a connection or to set up a POS by hand. Choosing them does not change what you receive.
A good starting set
Most teams start with these four:
Failed Orders
Locations paused
Orders Received While Unsubscribed
Token Refresh Failures
If a person manages your menu, also add Catalog Availability Updates.
Questions
Why am I not getting alerts?
Check these things in order:
Someone must choose alerts for you. A new team member who is not the owner receives nothing until alerts are chosen.
Check that your list is not set to No Alerts.
For store alerts, check that you have access to that store.
Look in your spam folder. The in-app notification (the bell in the dashboard) still appears even when an email does not arrive.
What do I get by default?
The owner of the organization receives every alert. Other team members receive nothing until alerts are chosen for them.
What happens when the owner chooses specific alerts?
The owner then receives only the alerts on that list. If the owner chooses No Alerts, the owner receives none.
Does "All Alerts" cover every store?
It covers every alert type. Alerts about a specific store still go only to people with access to that store.
How often will I get emails?
Failed Orders: one for each failed order. Orders Received While Unsubscribed: one for each order that was not processed. Token Refresh Failures: at most one every 24 hours for each connection. Catalog Availability Updates: one each day. Locations paused: when a store is paused.
